# Best SimplerQMS alternatives for medical device companies (2026)

SimplerQMS is a validated, Word-based eQMS for small and mid-sized life-science companies, with implementation, validation and training in one published starting price. The reasons device teams look past it are mostly about design controls, software work and the contract terms. Here's what our evidence shows, which alternatives fit which situation, and when SimplerQMS remains the better pick.

## Why teams look for SimplerQMS alternatives

**Design controls, risk and software as documents.** The design control module groups documents into collections, and risk files are controlled documents. Traceability comes from a traceability-matrix document template.[^sq-design][^sq-risk] The only IEC 62304 statement is a generic claim of "alignment".[^sq-home] The vendor says Jira documents can be brought in, but we found no documentation of a Jira integration.[^sq-design] A consultant on Reddit found it well designed, "maybe not for highly-complex, software-heavy devices".[^sq-reddit-demo]

**Contract terms.** The subscription renews automatically each year unless you cancel 90 days ahead, and the terms add 5% to all prices every 1 January, for existing contracts too.[^sq-terms] Licence counts can only be reduced at renewal.[^sq-pricing] One September 2026 Capterra reviewer describes a dispute over renewal and termination.[^sq-capterra]

**Interface and platform.** Several Capterra reviewers report an interface that could be more intuitive, slowness or instability.[^sq-capterra] Mac users report a weaker experience because the M-Files desktop client runs only on Windows.[^sq-capterra][^sq-kb-mfiles] Editing runs through Microsoft 365, and the vendor lists the need for Microsoft 365 licences as a drawback.[^sq-tech][^sq-qualio]

**Supplier and audit features are hard to check.** Supplier qualification and audit planning are described on product pages, but the newer help center documents only supplier-issue and audit-finding event types.[^sq-supplier][^sq-audit][^sq-help-settings]

**Cost for very small teams.** The $17,500 minimum is steep for a team of two or three.[^sq-pricing]

### You want linked design controls and risk: Greenlight Guru

[Greenlight Guru](/reviews/greenlight-guru/) builds software only for medical device companies.[^gg-pricing] Its product tour shows user needs, inputs, outputs, verification and validation linked in one matrix, and trace graphs flag missing links across design, risk and tests.[^gg-tour][^gg-pd] It offers IEC 62304-aligned software release management with Jira and GitHub sync.[^gg-ultralight][^gg-samd] Teams can co-author controlled documents in Google Docs or Microsoft Office for the web.[^gg-qms] eQMS packages start at $12,000 a year, but implementation is quoted separately and Vendr reports a median of $43,989 a year.[^gg-pricing][^gg-vendr] The contract terms aren't gentler: fees can rise at each renewal with 90 days' notice and no cap.[^gg-msa]

### You build software and want published prices: Matrix Requirements

[Matrix Requirements](/reviews/matrix-requirements/) documents configurable traceability rules, links issues to Jira, GitHub, GitLab and Azure DevOps, and has an IEC 62304 template package.[^mx-trace][^mx-git][^mx-sxmd] Both of its products publish prices. A 10-person team buying Matrix Req for three engineers plus ten Matrix Quality licences would pay about $21,800 a year (Sep 2026).[^mx-list2026][^mx-quality] Matrix Quality's billing page says implementation, migration, validation and training are included.[^mx-billing] You can start a Matrix Req trial yourself.[^mx-trial] A full QMS takes two products on different platforms, and Matrix Quality runs on Salesforce.[^mx-quality] The terms set no cap on price increases, and Matrix Req's list prices rose about 31–33% from 2023 to 2026.[^mx-terms][^mx-list2023][^mx-req-prices]

### You're a small software startup: Formwork

[Formwork](/reviews/formwork/) charges 99 € a month plus VAT for up to 5 users on Starter, and 499 € a month plus VAT for unlimited users on QMS + Techdoc, with no setup or validation fees.[^fw-pricing-live] Starter can't release product documentation, so a team heading for an audit needs the 499 € tier.[^fw-pricing-article] Each product records its IEC 62304 safety class, and requirements link to risk controls and tests.[^fw-manual-techdoc][^fw-manual-swr] Documents are written in a built-in editor that stores content as Markdown.[^fw-manual-docs] The gaps are real: complaints are logged as incidents with no documented investigation step, and we found no internal audit planning.[^fw-incidents][^fw-nc] The vendor has no ISO 27001 certification, where SimplerQMS has one.[^fw-audits] It has 2 reviews on G2, too few for a rating.[^fw-g2]

### You mainly need document control on a smaller budget: Cognidox

[Cognidox](/reviews/cognidox/) publishes a starting price of £6,000 a year for up to 5 users, without e-signatures.[^cx-pricing] Teams up to 30 need the Growth plan, whose price isn't published; in March 2026 that plan cost £35 per user per month with a 20-user minimum.[^cx-pricing][^cx-wb2026] An Office add-in opens and saves files from Word, Excel and PowerPoint.[^cx-kb-office] Cognidox holds ISO 27001, and Frankfurt is one of its datacentres.[^cx-iso27001][^cx-compliance] It sets up a 14-day free trial with you.[^cx-trial] Design control uses phase-gated document bundles, and we found no risk register or ISO 14971 tool.[^cx-design] The validation pack is an add-on with an unpublished price.[^cx-pricing]

## When to stay with SimplerQMS

SimplerQMS is a sound choice if these strengths matter more to you than the gaps above:

- **Services in the price.** The subscription includes implementation, IQ/OQ/PQ validation, data migration, unlimited live training, templates and hosting, with no onboarding fee.[^sq-pricing]
- **Templates.** Template packages for ISO 13485 and 21 CFR 820 are included.[^sq-pricing]
- **Support.** Capterra reviewers rate customer service 4.9/5 (36 reviews, Sep 2026), though Capterra labels 35 of them as invited by the vendor.[^sq-capterra]
- **Certified vendor.** SimplerQMS states ISO 27001 certification and has held ISO 13485 since 2018.[^sq-home][^sq-compliance]
- **Hosting choice.** The vendor says customers can choose US or EU hosting.[^sq-qualio][^sq-help-region]
- **Known increases.** The 5% yearly rise is fixed in the terms, so you can budget for it.[^sq-terms]
- **Exit.** When a subscription ends, SimplerQMS exports all content as Excel metadata plus the documents, available for 15 days.[^sq-terms]
