Part of Best QMS Software (https://bestqmssoftware.com/). Method: https://bestqmssoftware.com/how-we-rank/

Verdict: Pick Greenlight Guru if you're a device company that still designs and changes its products, or builds software, and wants design controls, risk and the QMS in one system with a published entry price. Pick Veeva Vault QMS if you're a large or multi-site company, especially one that also makes drugs, and want delivered complaint, CAPA and field-action processes on the same platform as Veeva's regulatory and clinical products.

## Greenlight Guru

- Overall score: 7.4 out of 10 (#3 of 20 systems tested)
- Price: from $12k/yr (Vendor-published entry price for eQMS packages (Sep 2026); users and modules at that price not stated. Implementation is priced separately. Buyers report $21k–55k/yr (Vendr) and about $30k in year one for a 40-person team (2025).)
- Best for: You build a medical device, want design controls, ISO 14971 risk and quality events linked in one MedTech-only system, and can budget well above the entry price.
- Watch out: Users report the bill growing quickly as the team grows, and implementation is charged on top of the subscription.

Scores out of 10:
- Compliance coverage: 8.0 (Validation package each release; no UDI or eMDR features found)
- Design controls and traceability: 9.0 (Linked design, risk and tests; Jira and GitHub sync)
- Usability: 8.0. 8.6 / 10 on G2 (320 ratings)
- Support and onboarding: 8.0. 9.4 / 10 on G2 (308 ratings)
- Community sentiment: 8.0 (4.5/5 on G2 (431 reviews); Reddit split)
- Affordability: 5.5. from $12k/yr (Buyers report $21–55k a year (Vendr))
- Price transparency: 5.0. Starting price only (Implementation fee not published)
- Try before you buy: 5.0. No free trial (Interactive tour and live demo)
- Contract and lock-in: 8.0. Annual (Per pricing page; agreement defaults to two years if the order form is silent. Export in standard formats; JSON API)
- Time to go live: 9.0. 2–8 weeks (Vendor estimate; SOP templates listed)
- EU data residency: 7.0. Germany available (Set per order form; no public QMS DPA)
- Budget predictability: 8.0. Uncapped renewal increases (90 days' notice; no price history before 2026)

## Veeva Vault QMS

- Overall score: 5.3 out of 10 (#16 of 20 systems tested)
- Price: on request (No public price, Oct 2026. Vendr's buyer data for QMS, QualityDocs and Training points to roughly $54–56k a year for 10 users, but that is one source from larger buyers. Implementation is sold separately.)
- Best for: You run a large or multi-site device, diagnostics or combined device-and-pharma company and want quality processes, documents and training on the same platform as your regulatory and clinical systems.
- Watch out: Prices aren't published, and design controls, UDI submissions and vigilance reporting need separate Veeva products, so small device teams pay enterprise prices for a partial QMS.

- Usability: 5.0. No G2 sub-score (Too few ratings; neutral value used)
- Support and onboarding: 5.0. No G2 sub-score (Neutral value used; implementation is a paid service)
- Community sentiment: 8.0 (4.1/5 (10 reviews) and 4.5/5 (14) on G2; capped at 8 (review drive))
- Affordability: 4.0. on request (Vendr line items suggest about $54–56k a year for 10 users)
- Price transparency: 1.0. No public price (No past price list found)
- Try before you buy: 5.0. No free trial (Recorded demos and live demo)
- Contract and lock-in: 8.0. Typically one year (CSV and document export documented; public API)
- Time to go live: 5.0. Not published (Implementation sold as a service; no SOP templates)
- EU data residency: 7.0. Germany available (How the location is chosen isn't public; DPA on request)
- Budget predictability: 4.0. Some contracts rise up to 4% a year (Lower of 4% or CPI at renewal, per Veeva's annual report)

## Comparison

These two sit at opposite ends of the market. Greenlight Guru builds software only for medical device companies, and its strength is the product development side: design controls, risk and traceability.[^gg-pricing][^gg-pd] Veeva Systems sells cloud software to pharma, biotech and device companies, and its quality products are separate applications on one platform, with strong complaint, CAPA and supplier workflows.[^vv-10k][^vv-mt-quality][^vv-help-qms]

### Who each is built for

Greenlight Guru fits device companies of roughly 10 to 50 people preparing a 510(k) or CE mark, or recently through one, that want design and quality in one place. Reddit users with experience of several systems recommend it for single-product or early-stage firms.[^gg-reddit-eqms]

Veeva Vault QMS fits large and multi-site companies, especially those that make both devices and drugs. Cardinal Health, with about 46,500 employees, uses it across its pharmaceutical and medical device businesses.[^vv-cardinal] It is also a natural choice if you already use Veeva for regulatory or clinical work, because the applications share one platform.[^vv-mt-quality] Veeva's own product for small device companies is QuickVault, a separate application we haven't reviewed.[^vv-quickvault]

### Price and contract terms

Greenlight Guru publishes an entry price: eQMS packages start at $12,000 a year, with implementation quoted separately. Vendr reports a median of $43,989 a year, with deals from $20,975 to $54,739.[^gg-pricing][^gg-vendr] We estimate $12,000 to $30,000 a year for a 10-person team, plus implementation.[^gg-review]

Veeva publishes no price.[^vv-mt-qms] Vendr's underlying data shows a fixed "Quality Base" subscription of about $24,200 to $24,600, plus per-unit prices for QMS, QualityDocs and Training. If those are yearly per-user prices, 10 users would cost roughly $54,000 to $56,000 a year before implementation. That is one source, from buyers with far more than 10 users.[^vv-vendr] Implementation is sold as professional services.[^vv-10k]

Greenlight Guru's subscriptions are annual, though its agreement defaults to two years if the order form sets no term. Order forms renew unless either side gives 60 days' notice, and fees can rise at each renewal with 90 days' notice, with no cap.[^gg-pricing][^gg-msa] Veeva's customer terms aren't public. Its annual report says subscriptions are "typically for a term of one year", and that some contracts rise at renewal by the lower of 4% or US inflation, without saying whether quality contracts do.[^vv-10k]

On exit, Greenlight Guru gives you 90 days after termination to request an export, says records export in standard formats without paying for services, and offers a JSON API.[^gg-msa][^gg-pricing][^gg-api] Veeva customers can export records, audit history and document metadata to CSV, and documents with their renditions, using built-in tools, and there's a public API.[^vv-help-loader][^vv-help-export][^vv-help-api]

### Design controls and risk

This is the clearest gap. Greenlight Guru's design control matrix links user needs, inputs, outputs, verification and validation, and trace graphs flag missing links across design, risk and tests.[^gg-tour][^gg-pd] Its risk matrix covers hazards, hazardous situations and harms. It syncs with Jira and GitHub and offers IEC 62304-aligned release management.[^gg-tour][^gg-ultralight]

Veeva's QualityDocs stores design history files as documents. Requirements with automated trace matrices are on the Veeva PLM page, a separate product we could only check against marketing copy.[^vv-mt-quality][^vv-plm] Veeva QMS supports risk matrices with ISO 14971-style probabilities, risk registers and process FMEA, but we found no design risk file linked to requirements and tests.[^vv-help-risk] We found no IEC 62304 features and no Jira or Git integration.

### Complaints, post-market and production

The post-market side favours Veeva. Complaints, nonconformances, CAPA, audits and suppliers are delivered processes, a complaint intake step triages reports, and QMS manages field corrective actions under 21 CFR 806 and EU PSURs.[^vv-help-qms][^vv-help-complaints][^vv-help-fca][^vv-help-psur] FDA eMDR and EU MIR files come from Product Surveillance, an add-on that Veeva lists as "Early", with 1 to 10 customers.[^vv-help-ps][^vv-mt-ps] UDI submissions are in Veeva RIM, another product.[^vv-rn-26r2]

Greenlight Guru's complaint flow includes a reportability decision that creates a task to prepare the FDA report, but we found no eMDR submission, no UDI management and no documented device history record workflow.[^gg-complaints][^gg-review] Veeva covers pharma processes too; Greenlight Guru has no pharma GMP modules.[^vv-help-qms][^gg-pricing]

### Validation and security

Both include validation material: Greenlight Guru ships an IQ protocol and completed OQ and PQ reports with every release, in the subscription, and Veeva performs and documents IQ and OQ for each general release and publishes a validation package.[^gg-pricing][^vv-releases] Greenlight Guru states ISO 27001 and SOC 2, without saying which SOC 2 type.[^gg-pricing] Veeva is audited every year against ISO 27001 and publishes a SOC 2 Type II report.[^vv-trust]

### What users say

Greenlight Guru has 431 reviews on G2, averaging 4.5/5, with 8.6/10 for ease of use and 9.4/10 for quality of support (checked September 2026).[^gg-g2] Veeva has two small G2 listings: 4.1/5 from 10 reviews for QMS and 4.5/5 from 14 for QualityDocs, with no sub-scores (checked October 2026).[^vv-g2][^vv-g2-qd] On both vendors' listings, most reviews are labelled as invited or incentivized, so our usability, support and sentiment scores are capped at 8.[^gg-g2-labels][^vv-g2] Users of Greenlight Guru report costs rising with headcount.[^gg-reddit-expensive] A few Veeva QMS reviewers say it has too many approval steps or takes time to get used to.[^vv-g2]

### Go-live, trial and hosting

Greenlight Guru says standard implementations take two to eight weeks, and lists SOP templates in the package.[^gg-pricing] Veeva publishes no implementation time, recommends a Veeva team or partner for data migration, and ships configured workflows rather than procedures.[^vv-help-migration][^vv-help-qms]

Neither offers a free trial. Greenlight Guru has an interactive product tour and a live demo; Veeva has recorded demos on its website, and live demos go through sales.[^gg-tourpage][^vv-demos]

Greenlight Guru's 2022 architecture overview says data stays in one region set in the order form: the US, Germany, Singapore or Australia. A public data processing agreement exists only for its clinical product.[^gg-arch][^gg-dpa] Veeva hosts on AWS, with Vault servers in the US, Japan and Germany, and publishes its subprocessor list. It doesn't say how a customer's location is chosen, and its DPA is offered only on request.[^vv-pods][^vv-subprocessors][^vv-privacy] EU buyers should get the hosting region in writing from either vendor.

### Choose Greenlight Guru if…

- you're still developing devices, or software as a medical device, and want design controls, risk and traceability linked in the QMS;
- you're a team of roughly 10 to 50 people that wants to go live in weeks, with SOP templates;
- you want a published entry price and can budget above it.

### Choose Veeva Vault QMS if…

- you're a large or multi-site company, or make both devices and drugs;
- complaints, CAPA, field corrective actions and EU PSURs matter more to you than linked design controls;
- you already use Veeva for regulatory or clinical work, or want those on the same platform later.
