What Arena QMS costs

Arena doesn’t publish prices. Every QMS plan on its pricing page says “Request Pricing”, and Arena says pricing is based on your team setup and requirements (checked October 2026).1 There are several licence types: full users, read-only, supplier and training licences. Discounts are typically based on licence needs.1

Our estimate for a 10-person team on the QMS plan is $12,000–25,000 a year, before services. It is an estimate, not a quote.

How we got the estimate

We combined two sources from different origins:

  • Vendr records 30 Arena purchases, with a median of $48,683 a year and a lowest deal of $12,427 (checked 4 Oct 2026).2 It puts QMS licences at $1,200–2,500 per user a year, depending on tier. For 10 users that gives $12,000–25,000. Vendr’s tier names don’t match Arena’s plan names, so we treat its per-user figures as less firm than its deal figures.
  • Arena’s own old price lists. In January 2016 the pricing page showed “$79 / Month / Seat Average Price”, a blended average for a typical PLM account with an annual subscription.3 That is about $9,480 a year for 10 seats, for PLM only and before the QMS launch. In May 2010 Arena advertised prices from $99 per user per month.4 We use these only as a check on the bottom of the range.

Some search summaries quote Arena plans at $290, $490 and $990 a year. Those figures come from a leftover website template in the pricing page’s code and aren’t Arena prices.1

Plans and what they include

Arena sells PLM and QMS plans on one platform.1

  • Free trial: the PLM core (BOM, change and document management) plus CAPA, nonconformance and complaint processes.
  • QMS: adds requirements, training, projects and analytics, SAML single sign-on, 25 automations and Arena Connect with three active workflows.
  • Enterprise QMS: adds supplier quality management, Analytics Designer and the Arena Connect workflow builder.

All paid plans are quote-only. A device company would usually buy the QMS plan, which is what our estimate covers. Support and a success coach are included in the subscription.5

Fees on top

  • Implementation, data migration and training are professional services, quoted separately under Arena’s terms.6 Vendr puts implementation at $15,000–50,000.2 In 2015 Arena said services typically cost “15-25 cents on each license dollar”.7 Arena doesn’t say whether a paid implementation is required.
  • Arena Validate, the validation package with IQ/OQ protocols and PQ templates, costs extra on the QMS plan and has no public price.18
  • The Microsoft 365 or Google Docs connection and marketplace apps also cost extra.1

So a 10-person team should budget the licence estimate above plus a one-off implementation project, and add Arena Validate if it needs the validation documents.

Renewals and price history

Agreements are annual. Under the master services agreement, the default term is one year, renewing automatically for further years unless you give 30 days’ notice. Fees are non-cancellable and non-refundable.6

Arena may raise fees, or add new charges, at each renewal with at least 30 days’ notice, which may come by email. The agreement sets no cap.6 Arena hasn’t published a list price since 2016; archived QMS pages from 2023 to 2026 show only “Contact us” or “Request Pricing”.39 So there is no recent price history to check.

In 447 G2 reviews we found one renewal complaint: a 2019 reviewer says a new sales rep didn’t honour earlier renewal terms. More than 20 reviewers call Arena expensive.10 Licences are priced per user, so 25 users cost roughly two and a half times as much as 10, less any cheaper read-only or training licences.12

Contract length and exit

During the subscription you can export items, changes, quality processes and training records as CSV files and download files through the API.11 After the contract ends, Arena offers a one-time export “subject to then-current professional services fees” and may delete your data after 30 days.6 That makes leaving a paid step. Run your own export before the contract ends.

How Arena compares on price

  • Greenlight Guru publishes an entry price of $12,000 a year, with implementation quoted separately. Vendr reports deals from $20,975 to $54,739 a year.1213
  • Ideagen Quality Management publishes a price ceiling for its medical device pack, “below £20,000 per year” with 15 licences, setup and training. Our estimate is $22,000–29,000 a year for 10 users.14
  • MasterControl doesn’t publish prices either. Our estimate for its Complete package is $25,000–72,000 a year for 10 users, with implementation sold on top.1516

Arena’s estimate sits at the lower end of this group, but it has the same pattern of paid services and quote-only licences. Ask for the full quote in writing, including implementation, Arena Validate and the cost of exporting your data at exit.
