What Formwork costs

Formwork publishes three tiers. On the pricing page of 3 October 2026, QMS + Techdoc costs 499 € a month plus VAT for unlimited users, Starter costs 99 € a month for up to 5 users, and the Community Edition is free.1 The same page gives US-dollar prices: $599 a month for QMS + Techdoc and $119 for Starter.1

QMS + Techdoc includes all features, the validation report, custom agreements (NDA, DPA, QAA) and a free migration.1

How we got the price

These are list prices from the vendor’s own pricing page, read through a Wayback Machine capture of 3 October 2026 and checked in a browser on 1 October 2026.1 A German tool directory listed the same euro prices in June 2026.2 That listing repeats the vendor’s prices, so it confirms them but isn’t a separate price signal. We didn’t ask the vendor for a quote.

Plans and tiers

  • Community Edition: free, 5 users, up to 10 documents and 10 records, no support.1
  • Starter: 99 € a month plus VAT, 5 users, no usage limits. You can’t release product documentation, and there’s no validation report or free migration.1
  • QMS + Techdoc: 499 € a month plus VAT, unlimited users, all features.1

Paying yearly gives one month free.1 CAPA and training management aren’t on the free tier.34

Fees on top

We found no setup, validation or onboarding fees.1 The euro prices are quoted plus VAT.1 The validation report and migration are part of QMS + Techdoc, and the vendor says its migration service usually takes one to two weeks.15

What a 10-person team pays

A 10-person team needs QMS + Techdoc, because the other tiers stop at 5 users.1 The vendor also says releasing (versioning) product documentation, which you need for an audit, is only possible on that tier.6

That is 5,988 € a year billed monthly, or 5,489 € billed yearly, plus VAT. In US dollars it is $7,188 or $6,589.1 Because the price is flat for unlimited users, growing from 10 to 25 people doesn’t change the bill.1

A team of up to 5 that isn’t yet heading for an audit could use Starter, at 1,188 € a year billed monthly.16

Price history

Formwork’s list prices have moved in both directions.

  • November 2023: the free Community Edition had no user limit. A 349 € plan covered the QMS without technical documentation for unlimited users, and QMS + Techdoc was 799 €.7
  • 2024: Starter cost 49 € a month, but only for unfunded startups of up to three people. QMS + Techdoc was listed at 799 € a month, with 499 € as a startup discount.89
  • March 2025: QMS + Techdoc fell from 799 € to 499 € a month for everyone. Starter went from 49 € to 99 € a month, open to every company but capped at 5 users.91011
  • February to October 2026: unchanged.1

OpenRegulatory says the 349 € plan was a short pricing test that never had customers. We couldn’t confirm that from a public source, and we don’t count it as a price rise. Today a team of more than 5 pays at least 499 € a month.1 We found no statement on whether existing customers kept their old price. Our news post on the March 2025 change has more detail.

Renewal, contract length and exit

The marketing says there’s no minimum commitment beyond a month and that you cancel with a button.16 The terms of service say something else: the agreement renews for one-year periods unless you cancel in writing 30 days before the end of the term.12 We treat the term as annual, because the terms are binding. Ask for the term in writing before you buy.

The same terms let renewal fees rise once a year with 30 days’ notice, with no cap, and let the vendor add new charges at the end of any term.12

On exit, documents and records can be exported at any time as PDF or Markdown, and technical documentation as spreadsheets.13 The terms also promise a CSV export on request before the contract ends.12 They don’t say what happens to your data if OpenReg GmbH becomes insolvent, stops the service or is sold.12

How Formwork compares on price

Formwork is one of the cheapest systems we review for a 10-person team. Cognidox starts at £6,000 a year, but only for up to 5 users and without e-signatures; the tier a 10-person team needs isn’t priced. SimplerQMS publishes a Starter price from $17.5k a year for up to 15 users, with implementation, validation and training included. Matrix Requirements comes to about $22k a year for a full QMS from two products. What each plan covers differs between these systems, so compare scope as well as price.
