QT9 doesn't publish prices, and its pricing page says why. What is public is the fee structure: annual concurrent licences with every module included, plus one-time implementation and training fees without amounts.

What QT9 QMS costs

QT9 doesn’t publish prices. Its pricing page asks “Why doesn’t QT9 publish pricing?” and answers that every quote is customized to your users, deployment preferences, implementation requirements and business goals (checked 5 October 2026).1 Archived copies of QT9’s sites from 2014 to 2025 show plan contents and quote forms, but no amounts.23 Capterra also lists the price as a custom quote.4

With no published price and no independent price data, we can’t estimate what a 10-person team pays.

How the licence works

The pricing page splits the cost in two:1

  • Annual fees: concurrent licences, for a cloud subscription or an on-premise installation.
  • One-time fees: implementation services and training services.

Concurrent licences mean you pay for how many people are logged in at the same time, not for every named user.1 Anyone can have an account, and the licence pool limits how many work in the system at once. That helps companies with shifts or occasional users. Ask how many concurrent licences the quote assumes, and what happens when the pool is full.

This is a change from earlier years. In 2017 QT9’s old site described the hosted subscription as “an annual fee per user”, again without an amount.3

What’s included

According to the pricing page, every subscription includes:1

  • all modules;
  • customer, supplier and employee portals;
  • a sandbox environment;
  • IQ/OQ/PQ validation and Part 11 e-signatures;
  • unlimited support and ongoing training;
  • help to implement further modules “at no additional charge”.

Validation is vendor-executed and included at no extra charge.5 QT9 says it provides free upgrades every 12 to 18 months.6 Customers can choose US or EU hosting, and QT9 doesn’t mention an extra fee for it.7 It says it doesn’t charge for API access.8

Fees on top

  • Implementation and training: one-time fees, with no published amounts.1 The same page says every quote includes unlimited training, so ask what the one-time training fee covers.
  • Add-ons: QT9 sells optional add-ons, such as a tool that sends you a full daily backup of your cloud data and a document portal sold in blocks of five concurrent users.9 No prices are published for them.

What users say about cost

At least ten G2 reviewers call QT9 affordable or good value. One reviewer wrote in December 2025 that prices have “risen considerably in the past few years”.10 We found no other report of a price increase.

Renewals and contract terms

QT9’s cloud customer terms (last modified December 2025) set these rules:11

  • the initial term is stated in your order form, then the contract renews for 12 months at a time;
  • you may cancel at any time on 30 days’ notice, but there’s no prorated refund of fees paid in advance;
  • the fee stays fixed during the initial term, then “may increase annually” at renewal, with at least 45 days’ notice and no cap.

European customers are billed in euros.11 Ask for a renewal cap in the order form, or a longer initial term with the price fixed.

Leaving

The terms promise that all customer data is exported and returned within 30 days of termination, unless you’re in breach. They don’t say in which format, and they name no fee.11 Lists export to Excel and reports to PDF.12

How QT9 QMS compares on price

  • ETQ Reliance also licenses concurrent users and publishes no price. Its June 2026 agreement lets fees rise by up to 7% a year, or by a re-quoted amount with 30 days’ notice.13
  • SimplerQMS publishes $17,500 a year for up to 15 users, with implementation, validation, migration and training included. Its terms add 5% to all prices every 1 January.1415
  • Qualio publishes no price either. We estimate $12,000–30,000 a year for 10 people, plus a mandatory implementation fee whose amount isn’t published.16

Like Qualio, QT9 charges for implementation separately and gives no figure before a sales call. Ask for the concurrent-licence count, the deployment, and the implementation and training fees as separate lines.
