Part of Best QMS Software (https://bestqmssoftware.com/). Prices of all systems: https://bestqmssoftware.com/pricing/

Scilife has never published a price. What is public is its three per-user tiers, what each one includes, and terms that let fees change once a year without a cap.

- Overall score: 6.3 out of 10 (#12 of 18 systems tested)
- Price: on request (No public prices, now or in archived pages back to 2021 (checked Sep 2026). Per-user licences in three tiers (Essential, Core, Core +); onboarding guidance and the validation package are listed in every paid tier.)
- Best for: You run a GMP-regulated pharma, biotech or combined device and pharma operation and want an easy-to-learn eQMS with validation documents included.
- Watch out: Device-specific features are thin: risk isn't linked to design controls, complaints use a generic events workflow, and there's no Jira or Git integration.
- Maker: Scilife NV, https://www.scilife.io
- Last checked: October 2026

Scores out of 10:
- Compliance coverage: 7.5 (Validation package included; no complaint reporting or DHR features; UDI only as a project field; ISO 9001 only)
- Design controls and traceability: 5.5 (Design controls since 2025; FMEA risk not linked to design; no dev-tool integrations)
- Usability: 8.0. 8.6 / 10 on G2 (58 ratings)
- Support and onboarding: 8.0. 8.9 / 10 on G2 (51 ratings)
- Community sentiment: 8.0 (4.3/5 on G2 (76 reviews); little Reddit discussion)
- Affordability: 4.0. on request (No public or buyer-reported prices found)
- Price transparency: 1.0. Contact sales only (No prices in archived pages since 2021)
- Try before you buy: 7.0. Free trial after a call (Self-guided tours; 30-minute demo)
- Contract and lock-in: 8.0. Annual (CSV list exports, document zip download, REST API)
- Time to go live: 6.0. Weeks to 90 days (Vendor estimate; no SOP templates)
- EU data residency: 8.0. EU or US (EU for GDPR customers; no public DPA or subprocessor list)
- Budget predictability: 5.0. Annual fee changes, no cap (60 days' notice; storage billed per GB; no price history to compare)

## What Scilife costs

Scilife doesn't publish prices. Its pricing pages list three tiers with "Get pricing" buttons (checked September 2026).[^mdpricing] Archived versions going back to 2021 never showed prices either. In 2021 the page called Scilife "pay-as-you-go" and offered only a contact form.[^wb2021][^wb2025]

We found no buyer-reported prices and no Vendr listing, so we can't estimate what a 10-person team would pay. Ask for a written quote per tier.

## How licences are counted

Licences are per user. There are full and read-only user types, and administrators cost the same as full users.[^mdpricing] Deactivated users are still charged.[^deactivated]

A basic amount of storage is included, depending on your contract.[^mdpricing] Beyond that, data storage is billed per gigabyte on top of user licences, so cost also grows with the data you keep.[^tc]

## Plans and what they include

For the device edition, the tiers stack like this:[^mdpricing]

- **Essential:** design and development, documents, training, competences, records and KPIs.
- **Core:** adds CAPA, change control and quality events, including complaints.
- **Core +:** adds audits, supplier management, risk assessment and equipment.

A device company that needs audits and supplier control therefore needs Core +, the top tier. The main life sciences pricing page has the same three tiers without design and development.[^price]

Every paid tier lists onboarding guidance, the validation documentation package, three environments (test, validation and production) and one-to-one support.[^mdpricing] The validation package is an executed GAMP 5 package with IQ, OQ, PQ and a traceability matrix.[^validation]

In March 2025 Scilife also had a free plan, with unlimited users, up to 20 documents and 5 trainings.[^wb2025] It has since been replaced by a free trial that starts with a booked call.[^trial]

## Fees on top

- **Extra onboarding:** Scilife says support never costs extra, but additional onboarding services are available at extra cost.[^faq][^mdpricing]
- **Storage:** billed per gigabyte beyond the contract's allowance.[^tc]
- **Further exports at exit:** the first full data transfer is free; further exports cost extra (see below).[^tc]

We found no mandatory implementation or validation fee.

## What about the Capterra price?

Capterra's listing shows a starting price of $1,000 per user per month.[^capterra-listing] That figure doesn't appear on Scilife's own site and looks implausible for this market, so we don't use it.

## Renewals and price history

Subscriptions are annual.[^faq] The customer terms leave the first term to the order form and renew the agreement automatically for another year unless you give notice 30 days before it ends.[^tc]

The terms let Scilife change its fees once a year, with written notice at least 60 days before the term ends. There's no cap; your option is to terminate.[^tc] Scilife has never published prices, so there's no price history to compare, and we found no user reports of renewal increases. Ask for a renewal cap in writing.

## Contract length and exit

The terms promise a one-time transfer of all your data at no extra charge, in a commonly accepted file format. Further exports cost extra.[^tc] Any list exports to XLS or CSV, and published documents download in bulk as a zip file.[^mdpricing][^bulk] Read-only database access and a REST API are available, but the API documentation isn't public.[^integrations][^faq]

The terms say nothing about insolvency, the service shutting down or a change of ownership, and there's no escrow.[^tc]

## How Scilife compares on price

- [SimplerQMS](/reviews/simplerqms/) also serves life sciences and publishes a starting price: $17,500 a year for up to 15 users, including implementation, validation, data migration and training. Its terms add 5% to all prices every January.[^sq-pricing]
- [Qualio](/reviews/qualio/) also covers devices and drugs and doesn't publish prices. Our estimate is $12,000–30,000 a year for a 10-person team, and every plan carries an implementation fee.[^ql-pricing]
- [Dot Compliance](/reviews/dot-compliance/) also includes a validation package and sells by quote. The only figure we found is a directory listing that starts at $10,000 a year, without a user count.[^dc-sourceforge]

Like Qualio and Dot Compliance, Scilife gives you no figure to compare before a sales call. Onboarding guidance and the validation package are listed in every paid tier, so the user count, the tier and the storage allowance are what to pin down in the quote.
