ZenQMS pricing

ZenQMS doesn't publish prices. It sells three packages that each include a range of user licences instead of per-seat fees. Its last public price list, from 2016 to 2018, ran from $250 to $1,500 a month.

What ZenQMS costs

ZenQMS doesn’t publish prices (checked 5 October 2026). Its pricing page lists three packages and asks you to book a demo.1 We found no independent price data either: Capterra shows no price, and Vendr lists ZenQMS without price data.23 So we can’t estimate what a 10-person team pays.

Packages and what they include

The pricing page describes three packages:1

  • Calm: for a first formal quality system or a move from paper.
  • Clarity: for replacing several disconnected systems, with more reporting.
  • Mastery: for multi-site and commercial-stage companies.

Each package includes “a range of user licenses”, so you can add users without paying for every seat. All modules (documents, training, workflows, insights and integrations) are in every package, and Clarity and Mastery add advanced capabilities.1 A sandbox environment and standard lifetime support are included.1

Validation is included too. Every release comes with a validation plan, requirements traceability and IQ/OQ/PQ documents, and UAT templates and a Part 11 / Annex 11 checklist are provided at no charge.45

Ask where your headcount sits in the package’s user range, and what happens when you grow past it.

The implementation fee

From 2016 until at least June 2026, the pricing page said every contract had two items: implementation, and the application fee. Implementation was “calculated based on the amount and complexity of your existing data as well as training needs”.67 ZenQMS never published an amount. A 2023 post on its own blog says every eQMS charges an implementation fee.8

The October 2026 page no longer mentions the fee, and doesn’t say it was dropped.1 Ask whether your quote includes it.

These cost extra, with no published prices:910

  • QAtalyst SOP templates and pre-built workflows, as a one-time fee based on implementation complexity and the number of workflows;
  • ZenSign external e-signatures;
  • SCORM interactive training;
  • the GxP training content library;
  • Insights Pro reporting.

Ready-made CAPA, complaint and nonconformance workflows come with QAtalyst, so a team without its own procedures should budget for it.9

The old price list

Archived copies of the pricing page from 2016 and 2018 show monthly prices from $250 to $1,500, based on the number of items (documents, issues, CAPAs and audits) in the account: $250 a month for 100 items, up to $1,500 for 1,250 or more.6 That is $3,000 to $18,000 a year. By September 2019 the figures were gone, replaced by “a few hundred dollars a month”.11

We don’t use the old list as an estimate. It’s more than seven years old, priced by item count rather than by package, and we found no independent signal to set beside it. G2 reviewers often call ZenQMS affordable or good value, but give no figures.12

Renewals and contract terms

ZenQMS updated its master subscription agreement on 23 September 2026. It isn’t public; you get a copy on request.13 ZenQMS describes an “annual fee” and says it doesn’t believe in “long-term contracts”.1415 Check the term and any price-increase clause in your order form.

The older 2018 terms, which no longer apply to new customers, renewed automatically and let either side end the agreement on 30 days’ notice. They also said help with data migration might be charged.1613

None of the G2 reviewers we read reports a price increase at renewal.12

Leaving

An account backup exports PDFs and CSV files for all core modules. Courses, training events and the users table aren’t included.17 The data processing addendum says ZenQMS returns your data through its standard export at the end of the contract and then deletes it.18 We found no exit fee in public documents.

How ZenQMS compares on price

  • Qualio also serves devices and pharma and publishes no price. We estimate $12,000–30,000 a year for 10 people, and its pricing page says an implementation fee applies to all plans.19
  • MasterControl licenses per named user, so cost rises with headcount. We estimate $25,000–72,000 a year for 10 users, plus implementation.20 A ZenQMS case study says PharmaLex moved from MasterControl to ZenQMS in 100 days.21
  • SimplerQMS publishes $17,500 a year for up to 15 users, with implementation, validation, migration and training included. Its terms add 5% to all prices every 1 January.2223

ZenQMS’s packages avoid per-seat fees, but without a price or public contract you can’t compare totals before a sales call. Ask for the package, the user range, implementation and any QAtalyst work as separate lines.
